Administrative Assistant

Location: Naval Base Kitsap - Keyport Service Center

Pay Grade: NF-0303-03

Brief Description of Duties: The Administrative Assistant will provide high-level administrative support to the Fleet and Family Readiness Program Directors, Admin Officer and Staff. The incumbent must use independent judgment, tact and discretion for successful performance of the work, as responsibilities may include receiving incoming phone calls, handling customer service inquiries, fielding complaints, and referring calls as necessary.  Successful candidates will have a track record of excellent written communication; exhibiting confidence and professional diplomacy; managing ongoing projects while directing the related resources, personnel and activities to successful completion.  Works with FFR Executive Staff to coordinate administrative operations, ensures all correspondence directed to and from FFR Executives is reviewed for content, routed correctly and properly prepared/formatted.  Assists with a wide variety of special and recurring projects and assignments that cross program lines working in support of N9 staff which have significant impact on the operation of FFR. Coordinates all aspects of NAF and APF travel making arrangements and prepares itineraries and travel vouchers.  Maintain and requisition office supplies and related material; maintains GSA Vehicles and conference room schedules.  Creates and develops visual presentations and coordinates with the Region Administrative Officer to schedule briefs and special trainings.  Performs functions such as gathering statistical data, meeting logistics, travel support, and tracking of recurring tasks.  Support in payroll processing using SLACADA and KRONOS pay systems.

Qualification Requirements: Qualified candidate must have knowledge of the structure, policies and program goals of Fleet and Family Readiness Programs to perform liaison duties and assignments. Must possess the ability to use Dept of Navy correspondence, English grammar, spelling, punctuation and sentence structure. Must possess excellent verbal and written communication skills, computer skills, application and software knowledge including PowerPoint, Word, Excel, Access, Sharepoint and social media. Must possess the ability to multi-task and prioritize projects with deadline achievement. World class customer service is a must.

Conditions of Employment: This position is subject to a background check in accordance with federal regulations. Must have a valid driver’s license.
